System Support Canada (“SSC”, “we”, “us”) respects your privacy. This policy explains what personal information we collect through systemsupport.ca, how we use it, and the choices you have. We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where applicable, Québec’s Act respecting the protection of personal information in the private sector (Law 25).

1. Information we collect

  • Information you give us: your name, email address, phone number, company and message content when you use our contact, quote-request or support forms, or email us.
  • Information collected automatically (only with your consent): pages visited, referring site, approximate location (country/city), device and browser type, collected through analytics cookies as described below.
  • Technical information: IP address and server logs needed to operate and secure the website (including through our CDN/security provider, Cloudflare).

Please do not enter sensitive personal information (such as health, financial or government ID information) into our website search box or forms.

2. How we use your information

  • To respond to your inquiries, prepare quotes and provide our services.
  • To understand, in aggregate, how visitors use our website so we can improve it.
  • With your consent, to measure the effectiveness of our online advertising.
  • To protect the security and integrity of our website and systems.
  • To comply with legal obligations.

We do not sell or rent your personal information. With your consent, we use Google Ads conversion tracking and remarketing to measure and improve our own advertising.

3. Cookies and tracking technologies

Our website uses the following tracking technologies and third-party tools:

  • Google Analytics 4 (Google LLC) — website usage statistics, loaded via the Google tag (gtag.js) and Google Site Kit for WordPress. Cookies: _ga, _ga_*. Category: Statistics.
  • Google Tag Manager (Google LLC) — tag management container that loads Google Analytics and Google Ads tags. Category: Statistics/Marketing.
  • Google Ads conversion tracking and remarketing (Google LLC, including DoubleClick / googleadservices.com) — measures whether visits from our Google Ads lead to inquiries. Cookies: _gcl_au and Google advertising cookies. Category: Marketing.
  • Microsoft Clarity (Microsoft Corporation) — heatmaps and session recordings of how visitors interact with our pages. Cookies: _clck, _clsk, CLID, MUID. Category: Statistics.
  • Google reCAPTCHA (Google LLC) — protects our forms from spam and abuse. Category: Functional/security.
  • Google Maps embed (Google LLC) — shows our office location on the Contact page. Category: Marketing (loaded only after consent).
  • Google Reviews widget — displays our public Google Business reviews.
  • Instagram feed (Meta Platforms, Inc.) — displays posts from our Instagram account. Category: Marketing (loaded only after consent).
  • Crisp live chat (Crisp IM SAS) — provides the website chat widget; stores a session cookie (crisp-client/*) so conversations can continue. Category: Functional.
  • Cloudflare (Cloudflare, Inc.) — content delivery, email-address obfuscation and security/bot protection. Category: Strictly necessary.
  • Complianz consent manager — records your cookie choices (cmplz_* and wp_consent_* cookies). Category: Functional.

Analytics and marketing tools (Google Analytics, Google Tag Manager, Google Ads, Microsoft Clarity, Google Maps and Instagram) are only loaded after you give consent through our cookie banner (Complianz), and Google Consent Mode v2 is enabled. We have configured Google Analytics to redact email addresses and URL query/search parameters, Google Signals is disabled, and data is retained for the minimum period available. See our Cookie Policy for details of individual cookies.

You can change or withdraw your consent at any time using the “Manage consent” button shown on every page, or by clearing cookies in your browser. You can also opt out of Google Analytics using Google’s browser add-on and manage Google ad personalization at adssettings.google.com.

4. Service providers and cross-border transfers

We use trusted service providers (such as website hosting, Cloudflare, Google, Microsoft, Meta and Crisp) to operate our website. Some of these providers store or process information outside Canada, including in the United States, where it may be subject to the laws of that jurisdiction. We require our providers to protect personal information and use it only for the services they provide to us.

5. Retention

We keep personal information only as long as needed for the purposes above or as required by law. Contact-form submissions that do not lead to a business relationship are deleted within 90 days.

6. Safeguards

We use reasonable administrative, technical and physical safeguards, including encryption in transit (HTTPS), access controls and security monitoring, to protect personal information.

7. Your rights

You may request access to, correction of, or deletion of your personal information, withdraw consent, or ask questions about our practices by contacting our Privacy Officer. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, in Québec, the Commission d’accès à l’information.
